Recently Microsoft released advanced personalization options in Microsoft dynamics 365 Finance & Operations. These personalization options can be used to organize your forms and workspaces to boost your and your team's day to day efficiencies. In this blog, I will provide you an overview of all personalization options available within Dynamics 365 Finance & Operations.
In principal following personalization options are available in Dynamics 365 FO
System wide personalization options - These options allow to manage various aspects such as form colors, grid sizes, language, time zone and workflow related preferences. Below is a summary of these options.
Restricted Personalization access - as explained above, these are automatically recorded / saved form actions by Dynamics 365. Certain actions such as expanding / collapsing of particular fast tabs on a form is recorded by D365 and next time when the user visit the form those personalization are applied by system. It is not possible to modify / configure these personalization settings.
Full Personalization access - Every form within Dynamics 365 FO allows users with rich personalisation options. Below is the list of these options available in Dynamics 365 FO.
Before jumping into sharing and administration of personalization, we will understand more about the functionality of "Views".
Views - Views allow users to save a personalized version of form where they might have added new / hidden any fields, applied filters, changed tab orders etc. Those saved views can be easily selected on the given form in future. Just to illustrate some of the benefits of saved views, on "all customers" for we can have multiple views such as All foreign customers (Add country column to the grid, apply filter based on the country), All cash customers (Add credit limit and payment terms fields to the grid, apply filter based on Cash payment term), All customers on hold (Add hold, status fields to grid and apply filter for hold codes) etc. Once these views are created, it is very easy to switch between those views on the "All customers" form. This provides you an ability to work with data filtered and presented based on predefined personalization and saves you time and efforts required to apply those settings and filters each time.
Applying different views to the form - Click on the "Standard View" drop down box on the top of the form. This will list all available views for the given form. Just select the required view to apply to the form.
View types - Following types of views are available in Dynamics 365 FO
Create / save new views - In order to create or save new view, just click on "Save As" button under view list after applying required personalization to the form.
Publish Views - While personalization provides great flexibility to users, they can easily lead to confusions and miscommunications if different people have personalized their forms in different ways. Hence it is important that members of a given team can have a common view of the form which can increase efficiencies of team collaborations. In order to achieve it, it is possible to publish views and make them available to your teams.
Views can be published from manage views form:
Add views to workspaces - Once defined, views can be easily added to workspaces. Views can be added as a tile / list / link on the workspace.
Administer Personalization - As a user, it is easy to manage / clear your Personalization if needed. This can be achieved from the user options form. Additionally, system administrators can manage system wide personalization for all users.
